ARCHITECTURAL CONTROL (Russ Fitch) 7/15/2010. The ACC Committee received 144 applications in the first two quarters of 2009; it received 168 applications during the same period of 2010 – a 17% increase. Updated ACC PM1-A1 dated June 15, 2010 is available at www.heathergardens.org and hard copies are in the front office. Owners must post approved ACC applications on the front door of their unit during construction. Lead-based Paint Certificates are required with ACC applications for new projects in Buildings 201-215. This is a one-time requirement. General Manager Eddy-White will suggest fire prevention and control procedures for six-story buildings with underground parking garages at future meetings. In lieu of the August 19, 2010 Architectural Control Committee meeting, the Committee will have a display table and assist at the Home Improvement Community Center event scheduled for August 21, 2010. BUDGET AND FINANCE (Twyla Gaugenmaier) 8/09/2010: Next Audit Subcommittee is 8/16/2010 at 9:30 a.m. Insurance Subcommittee in July heard Controller’s report that there are no major claims or problems with HGA coverages for fiscal year ending 9/30/2010. Subcommittee will receive renewal proposals from VanGilder Brokers at the August 30, 2010 meeting at 1:00 p.m. Committee updated financial and banking access authorizations to remove the former General Manager and Business Manager, and to add the new General Manager and Controller. Next Budget and Finance meeting: 9/13/2010 at 10:00 a.m.
CIVIC AFFAIRS (Donna Dissette) July meeting was canceled. August 12 minutes not available at this time. Next meeting: 9/2/2010, 9:00 a.m.
COMMUNICATIONS/PUBLICATIONS (Joyce Angel) 8/02/10: Heather ‘n Yon paid $889 to HGA for the 2nd quarter of 2010. Residents purchased $2,850,000 of the bonds for the new Community Center. Sentinel gave us a free third ad in August because they printed the first two in black and white instead of color. July website visits increased 17.85% over July last year. New brochures will be prepared in the fall. Suggestions were given for a new script for TV ads next year. A draft will be sent to Committee members for approval. August 21 Home Improvement Showcase will feature tours of recently updated Heather Gardens homes plus vendors for home improvement projects. There would be a charge to change the architect’s renderings of the new Community Center interior. Construction on the new Center will probably start in February or March 2011 and target completion is November 2011. Marketing information will use expected completion date of early 2012 to allow for weather delays. Next meeting: Tuesday, 9/07/2010 at 9:30 a.m.
COMMUNITY CENTER (Larry Davila) 7/26/2010: Committee comments regarding Suggestion Box comments: Colors for new Center interiors should be chosen looking at future “in” colors; pool temperature will be the same as current temps; additional hand showers will be requested in women’s showers. Rental fees for the new facility rooms will be studied. A lock will be put on door of Ping Pong equipment with the key and sign-in kept at Reception Desk. Concerns regarding teen and visitor use of pools and exercise rooms were discussed. Rules were reviewed. Security cameras will be improved in the new facility. Hours for children in the pools will remain the same for now. Changes of times and schedule for children will be discussed before the new Center is open. The 2011 budget will be discussed at the August meeting. Next meeting: 8/23/2010 at 10:00 a.m.
GOLF (Georgia Ptacek) 8/03/2010: Committee agreed with suggestion to accumulate funds for replacing the problem bridge in the future. A structural engineer has been hired to assess the strength and longevity of the bridge. Golf Pro reported that Heather Gardens course is competitive with all executive courses in the metro area and recommends keeping green fees at the present level. Pro Shop will not request funding in the 2011 budget. Committee approved continuing the 40-play card with an expiration date 12 months from date of purchase. Committee will request approval from HGMD Board to approve transfer of funds for new fountain lights from the Foundation to the golf account of HGMD. Next meeting: 9/07/10 at 1:00 p.m.

STRUCTURE MAINTENANCE (Gene Burns) 7/27/2010: Committee heard a presentation on a new IB Roof Systems roofing product that could be used on the 6-story buildings. Custodial, Paint, Maintenance, and Contracts Department Supervisors gave status reports. Recommended to the Heather Gardens Board of Directors a contract to install a drainage system for Parking Structure #2 garage roof. Recommended to Budget and Finance Committee and HGA Board of Directors the approval of the 2011 Paint and the Maintenance Department Budgets as presented. HEATHER GARDENS FOUNDATION (Mavis Richardson) 7/14/2010: Balance as of 6/30/2010 was $3,890.77. Committee approved funding replacement of fountain lights next to the ladies tee box on the #9 hole. Committee Chair will research to learn if funds for sidewalk paths from some 4-story buildings to the Community Center are in the scope of Foundation projects. Meeting on 8/11/2010: Balance as of 7/30/2010 was $4,012.36. Tennis Club would like to make a donation for a bench in the courts in memory of Don Cavens, to include a small plaque. The Chair will get information on the options for benches and the cost. She will also check with the General Manager to see if a plaque can be placed on the bench. With no agenda items to discuss the September 8, 2010 meeting is cancelled. Next meeting: Thursday, 10/13/2010 at 11:00 a.m.
